Name Change

With this release of elligence, DSI begins the transition of our product name from elligence to MDsuite

  • MDsuite powered by elligence indicates that elligence is still the same core product, i.e. this is primarily a name change. 
  • The new name MDsuite is being used to indicate that our product's fetaures encompass the entire office - back, middle and front.

Programming Language Changes

MDsuite 4.1 uses more advanced programming languages - C# and VB.Net (Visual Basic.Net). 

These languages enable MDsuite to take advantage of 64-bit processors as well as a technical concept called multi-threading.  What does all of this mean to you?

If you have a 64-bit processor and a 64-bit Operating System, then MDsuite can process commands, such as reports, faster.  The faster commands are processed, the less likely it is that you will need to add or improve your hardware when adding more users.

Electronic Superbills

Electronic Superbills save time and money by avoiding printing superbills and re-entering the data.

The provider:

  1. Selects one or more procedures that were performed
  2. Selects one or more applicable diagnoses
  3. Associates the diagnoses with the procedures
  4. Sends the superbill to billing

Electronic Superbills that have been sent to billing appear in a charge batch in the charge queue.  These charges may then be reviewed by a biller for errors or omissions (possibly using the 3M Edit Engine) and then posted to patient accounts. The biller may also return one or more superbills back to the provider, along with a message.

Super-e-Bills

A FREE client login - Super-e-Bill - for electronic superbills is available.  This login allows healthcare providers to login to an MDsuite application server solely for electronic superbills.  The client login may be distributed free of charge to providers.  Equally important - operators logging in with Super-e-Bill do NOT reduce the number of operators who may concurrently login.

Use of Adobe Acrobat Viewer

In order to create "cleaner looking" and more "permanent" output, MDsuite now creates certain documents in "pdf" format.  This includes appointment reports (for the patient) as well as lab requisitions.  In the future, additional documents will also be created as pdf files.

To view these files, Adobe Acrobat Viewer must be installed on the workstation.

Integration with the 3M Edit Engine

Charges can be screened against current rules for proper and accurate coding before posting.  By integrating with the 3M Edit Engine, MDsuite 4.1 will help ensure correct and accurate coding and minimize compliance risk by providing medical necessity validation.  This can result in greater collections, faster reimbursement, reduced revenue cycle times and improved cash flow.  

Electronic Prescriptions (eRx)

Electronic Prescriptions allow:

  • Prescriptions to be created
  • Current medications and allergies to be entered
  • Direct-to-pharmacy electronic prescribing
  • Printing of prescriptions
  • Drug review including allergy and interactions
  • Managed care formularies including Medicare Part D
  • Leaflets to be viewed and printed

Formattable Screen Sections

You may define sections of screens for most MDsuite entities, for example Patients, Insurance Coverages and Employers.  These sections may be comprised of user-defined elements such as check boxes, text boxes, list boxes, dates, option buttons, and measurements. 

Once defined these sections appear along with other MDsuite data.  In addition, these items can then be formatted to appear on all printed formats, e.g. Patient Documents, Statements, Superbills and Insurance Forms.

Transaction> Post Charges

Referring doctor on the charge

The referring doctor from the selected Illness now populates a charge-level field called Referring Doctor.  The charge-level Referring Doctor is used for electronic claims.  This eliminates the need to create a new Illness if the only change is to the referring doctor.

Charge Batch (Right-click on Charges)

Return Superbill: Charges in the charge batch originating from electronic superbills may be returned to the provider along with any billing message.

The provider may, in turn, send it back to billing with his/her own message.  Charges having a message appear with an asterisk in the (M)essage column.  The first time any charge having a message is clicked on causes the message to appear; thereafter, click on the asterisk to view the message.

Medical Necessity and Compliance (Charge)

Assuming the 3M Edit Engine is enabled, you may click on a specific charge to check medical necessity and compliance for that charge, only.

Improved Search

A new search mode "Any" is now available.  Use "any" to force MDsuite to search for your text in all available fields (other than ID fields). 

For example, assume you are looking for a patient and habe chosen the "any" search mode.  When you type in an account number, all matching patients with that number will appear; if you change your mind and type in the patient's last name or social security number, MDsuite again shows all matches.

Admin> Security Manager

New Role
The role of "Nurse" has been added.  This is useful for electronic prescriptions.

New Permissions
The following new permissions have been added:

Admin> Security Manager> Transaction> Post Charges

  • May Discard Charge Batches:  If un-checked (disabled), then - when exiting Post Charges with an un-posted charge batch,  the option to "Close this batch and discard my work" is unavailable.
  • May Restore Charge Batches: If un-checked (disabled), then the operator may not restore charge batches from the Posted/Deleted section to the Pending section of the Charge Queue.

Patient> Demographics

  • May Change Account Number: If un-checked (disabled), then the operator may not change a patient's Account Number.
  • May Change User ID: If un-checked (disabled), then the operator may not change a patient's User ID.

Ledger

Transaction Notes

The current “Ledger Note” is now an Account Note and a new “Transaction Note” may now be attached to an individual charge or payment.  Transaction Notes appear alongside other details pertaining to the charge or payment.

F/B

This handy shortcut shown at the top of the Ledger screen displays the sum of all Fees (F) and Balances (B) for charges that have been selected.  For example, F/B: $1,200.00/$875.42 means that the fees for the selected charges total $1,200.00 and the balances for the selected charges total $875.42.

Post Patient and Insurance Payments

You may right click on any charge and enter a Transaction Note.

Reports> Advanced Selections

There are now two sets of Patient and Transaction Selections.  This permits more complex logical operations, e.g. charges performed by provider 1 OR 3 OR 5 at  Location 2 or 4. 

Reports> Transactions > Day Sheets

For fast access, patient names are now hyperlinks to the patient's ledger.

Included Transaction Types:  A new option - Include Superbill Summary - has been added.  This option provides a summary of superbill usage at the end of the report.  This summary shows all superbills on the report with an asterisk next to any superbill number that is out of sequence.

Include E/M Codes Only

You may limit these reports to E/M Codes, only.

These are currently defined as:

  • New Office Patients (99201-99205)
  • Established Office Patients (99211-99215)
  • Office Consults (99241-99245)

Safer Handling of Charge Batches

These are batches of charges coming from an external source such as an EMR or simply saved charges that have not yet been posted.  Even after they have been posted or deleted, MDsuite 4.1 retains these batches and allows them to be re-processed if needed. 

Scheduling Recurring Appointments

You may ask MDsuite to search for a series of appointments, with preferences, and post the entire series with a few clicks.  A Report button, also available from Demographics> Appointments, prints a clearly organized appointment list for the patient. 

Automated File Maintenance

MDsuite now automatically performs file maintenance procedures weekly during off hours.  These procedures clean up MDsuite databases to enhance system performance.   As an option and for added security, prior to performing file maintenance, MDsuite will perform a local backup.

Licensing

In order to accommodate the above options - 3M Edit Engine and eRx - future MDsuite 4.1 licensing will include both a unique Client ID and a Site ID for each database for which any of the above optional features have been enabled.

Admin> Licensing Manager has been enhanced so that future license changes can occur without the interchange of a CD or file. 

New Report Category for Billing

This new report category provides Detailed and Summary statistics regarding prior billings.  This includes the total count of patients, encounters and charges that were billed out for each insurance company and billing method.

New Custom Reports

Reports> Custom> Transactions> Payments by Family

This report provides a concise listing of all payments made by members of a family within a specified date range.

Reports> Custom> Billing> Returned Superbills

This report lists all electronic superbills that were returned to the provider and have not yet been Voided or sent back to billing.

Deposit Slips

Include:  Electronic Funds Transfers (EFTs) are available as a separate option.

Display: You may now choose to display:

  • The payment's Batch ID
  • The "Pay-To Entity", i.e. the entity being paid
  • The Payer

New Transactions "Received Date"

Charges and Payments now include a Received Date, i.e. the date the charges (superbills) or payments were received in your office. Reports may then display and/or be based upon this date.

  • Post Charges: Use the Options command to set the Received Date for the batch. 
  • Post Patient/Insurance Payments:  The Received Date appears on the screen.

In either case, if not set, the Received Date defaults to the current date.

New Preferences

Transaction> Post Payments: Number of months to display Closed Charges.  This sets the value for the corresponding question on the post payment screens.

Transaction> Charge Queue: Number of days to retain posted or deleted charge batches.

Transaction> 3M Edit Engine:  Allows default settings for the behavior of this option during the post charges command.

Reports> Superbills: Default settings for paper and electronic superbills.

Dashboard> Superbills: Default Allow charge posting of appointment only superbills - This setting determines whether providers can post charges into superbills for patients who have not yet been checked in for their appointment.

Define> Providers, Referring Doctors

A warning has been added if you attempt to add a referring doctor or provider whose NPI or UPIN matches that of an existing referring doctor or provider.
